FAQS about the AAGP Annual Meeting
2009 Annual Meeting
Site of 2009 AAGP Annual Meeting
The headquarters hotel is the Hilton Hawaiian Village in downtown Honolulu, Hawaii. The primary site of the meeting will be the Hawaii Convention Center.
Can I walk to the Convention Center from the Hotel?
It is about a 7 – 10 minute walk from the Convention Center to the Hotel. AAGP will provide continually running buses between the two sites, but feel free to walk or take the bus, whatever you enjoy.
Why are there different prices of rooms at the Hilton Hawaiian Village?
All hotels in Hawaii base their room rate on the view from the room. In order to offer multiple options in different price categories for AAGP Annual meeting attendees, AAGP has contracted for garden room views (at the least expensive), partial ocean view rooms and full ocean view rooms. The Hilton Hawaiian Village has 5 separate towers among a lush tropical garden setting, so all three types of rooms are available.
What will the weather and water conditions be like in March in Honolulu?
Weather in Hawaii is very consistent, with only minor changes in temperature throughout the year. There are really only 2 seasons in Hawaii: summer (called Kau in Hawaiian) from May to October and winter (Ho'oilo) from November to April. The average daytime summer temperature at sea level is 85º F. (29.4 C) while the average daytime winter temperature is 78º (25.6º C). Temperatures at night are approximately 10º F. lower. Hurricanes are rare but the hurricane season is from June to November. The last major hurricane to hit Hawaii was Iniki, which severely damaged Kauai in September 1992. The water temperature in Hawaii is very consistent. The year-round average water temperature is a warm 74 degrees. It can reach 80 degrees in mid summer. Winter is the time for the big surf in Hawaii in places such as the North Shore of Oahu. .
General Questions
Did you know that the AAGP Annual Meeting is reserved five years in advance?
In order to assure that AAGP reserves the space it needs, the AAGP needs to reserve the meeting space and hotel rooms five years before the actual meeting. (View future AAGP meetings.)
How is the location selected for the AAGP Annual Meeting?
AAGP works to ensure that the Annual Meeting rotates around the United States so that different regions of the country are represented. However, since the meeting is held in early March, AAGP strives to have the Annual Meeting in a location where the weather will be accommodating to enjoy the local venue. The AAGP Board of Directors approves all of the Annual Meeting locations.
How does AAGP contract for space and rooms?
AAGP needs to guarantee the use of a certain number of rooms in order to receive the meeting space it needs to hold the Annual Meeting. However, if AAGP does not use all of the reserved rooms, it needs to pay for those rooms that were not in use (termed attrition). There are few properties left in the United States that are big enough to house the AAGP Annual Meeting in one space, and so AAGP has started to look at small convention centers for future meetings. AAGP is further limited by holding its Annual Meeting over a weekend, as some locations will not host convention business during a weekend rotation.
Does my guest need a badge?
Yes, your guest needs a spouse/partner registration to attend social events, non-ISS symposium, and the Exhibit Hall. Separate tickets may be purchased for the AAGP-PAC event; the GMHF event, the Presidential Plenary and Awards Dinner, and the Exhibit Hall. The AAGP's President's spouse sponsors a get together coffee in the headquarters hotel. For more information, contact ddisque@aagponlline.org
Can my guest enter the Exhibit Hall?
No, your guest cannot enter the Exhibit Hall unless they have a guest registration or an Exhibit Hall Only registration badge. However, children under the age of 18 may accompany their parents into the Exhibit Hall at no charge.
Are children allowed in the Exhibit Hall?
Yes. All parents of children entering the Exhibit Hall will be asked to sign a waiver.
Can guests enter the CME scientific sessions?
Your guest may attend non-ISS scientific sessions only if they have a spouse/partner registration.
Where can I get information on 2010 meeting?
The AAGP 2010 Annual Meeting will be held in Savannah at the Savannah Convention Center and several surrounding hotels (Westin, Hyatt) during the first weekend in March. Please check the AAGPonline.org website for future information. AAGP will begin to accept session proposals for that meeting in mid April 2009.
How can I find out about Committee meetings?
AAGP has a list of all Committee meetings and their schedules during the Annual Meeting at the aagpmeeting.org website . If you have a specific question, please contact Carrie Stankiewicz at cstankiewicz@aagponline.org.
May I attend the AAGP Board of Directors meeting?
The AAGP Board of Directors meeting is open to all AAGP members. If you wish to attend, please notify Carrie Stankiewicz at cstankiewicz@aagponline.org.
What materials will I receive at the conference?
Your conference bag will include an assortment of announcements and other information, but please ensure you receive the CD disk with the session handouts, the AJGP Supplement containing the abstracts for all presentations (except industry supported programs), and an evaluation form for the overall meeting. In addition, there will be a Call for Presentations for the 2010 AAGP Annual Meeting.
What is the difference between the CD disk in the conference bag and the CD recordings I may purchase at the meeting?
The CD Handout Syllabus in your conference bag includes all of the handouts received from speakers prior to the meeting. These handouts may also be downloaded from the aagpmeeting.org website before the meeting. The DVD for sale includes audiotapes of all of the sessions (where the presenters have given permission) along with the handouts presented during the meeting.
Can I check my email?
Yes, AAGP provides a complimentary cyber café for those who wish to use it to briefly check email or access the internet.
Why is my evaluation of the meeting so important?
As an approved provider of CME by the ACCME, AAGP is required to evaluate all participants experience with the educational portion of the AAGP Annual Meeting. The AAGP Meeting Evaluation is a critical part of this analysis.
Why do some social events require a special ticket?
AAGP has two separate organizations – the Geriatric Mental Health Foundation and the AAGP PAC. Both of these organizations have their own budgets and must raise money in order to sponsor their programs.
Is there a free networking event for all AAGP Annual Meeting Registrants?
Yes, Registration at the AAGP Annual Meeting includes one ticket to Presidential Plenary and Awards Dinner.
What is the AAGP bookstore?
The AAGP Bookstore is located at the AAGP Booth in Kamehameha III Hall and includes all of AAGP's products and services that are available either on a complimentary basis (consumer brochures, legislative fact sheets, position statements) or for a fee (books, slide kits, and self assessment program).
